Invoice reminder templates for small businesses

Late payments are rarely about bad customers. Usually the invoice just got buried. A clear, friendly reminder schedule fixes most of it.

A simple reminder schedule

  • 3 days before due: a friendly heads-up.
  • On the due date: a short reminder with the payment link.
  • 7 days late: a polite follow-up that offers help or a payment plan.
  • 14+ days late: a firmer note and a phone call.

Make paying easy

Every reminder should include the invoice number, amount, due date and one way to pay — ideally a link. The fewer steps between reading the message and paying, the faster you get paid.

Copy-and-paste templates

Before the due date

"Hi Jordan, a quick heads-up that invoice #1048 for $450 is due Friday. You can pay here: [link]. Thanks for your business!"

Due today

"Hi Jordan, invoice #1048 for $450 is due today. Pay in one tap: [link]. Let us know if you have any questions."

7 days late

"Hi Jordan, invoice #1048 for $450 is now 7 days past due. If it's easier, we can split it into two payments — just reply. Pay here: [link]."

14+ days late

"Hi Jordan, we still show invoice #1048 for $450 as unpaid (due Oct 10). Please pay by [date] or call us to set up a plan. Thank you."

Tone tips

  • Assume good faith: most late payers simply forgot.
  • Keep it short — two or three sentences.
  • Never threaten in writing; stay factual.
  • Send during business hours, not late at night.

Common questions

How many reminders is too many?

Three to four reminders spread over a few weeks is typical. After that, a phone call usually works better than another message.

Should I charge a late fee?

You can if it's in your written terms before the work starts and allowed in your state. Mention it in the invoice, not for the first time in a reminder.

Coming soon: texting your customers. Until then, leads, reminders, drafts, and your 5 PM update show up on your desk and by email.
